Process Automation

We thoroughly review each step in your process and based upon the need, develop systems and processes to streamline the transfer of information across multiple organizations, design production databases to track progress and generate reports, redesign workflow processes to speed production, design new metadata tracking systems to align with client or regulator policies, and build tools to help automate the review of records and data.

We have, for example:

• Created a custom-designed, automated document-naming process resulting in a three-fold increase in production speed.

• Replaced tedious and time-consuming manual documentation review with an automated tool to extract specific metadata, compare data across other documentation and systems, perform validation checks, and integrate the data into an existing compliance tracking system. Reducing a week long effort into a few hours.

Records Management  

Your records management system is critical to ensuring information is traceable, verifiable, and accessible. It is the foundation of accountability, which means records management is essential to mitigating risk. We are experts at designing accurate, timely, consistent, user-friendly documentation processes and systems, which at the highest level become your Records Management Plan.

We have, for example:

• Reviewed documents and implemented naming conventions for various documents, which supported traceability and searchability.

• Developed an intake process that designated document types for engineering drawings, creating consistency across records generated by multiple departments.

Business Process Documentation

Documentation of business processes is critical for ensuring roles and responsibilities are identified, which ultimately reduces risk for error or misrepresented information. We apply the same combination of big-picture vision and granular attention to detail in documenting business processes.

We have, for example:

• Created job aids and guidelines to support daily tasks.

• Developed standards and procedures for engineering drawings that follow best practices and are in conformance with client and industry standards.

Critical Records Creation/Updates

Accurate mechanical, electrical, and operational documentation is critical to the safe operations of pipeline and facilities. Missing, out-of-date, or inconsistently designed documentation can pose a risk to personnel during troubleshooting and maintenance and prevent them from properly completing daily activities. This can result in compromised performance, impaired recovery times, and faulty operations or system failure, jeopardizing both employee and public safety.

Our team implements and oversees the process for creating and/or updating mechanical, electrical, and operational drawings and documentation in accordance with current industry standards. This process entails compiling as-found above-grade piping through laser scans, photos, and on-site walkdowns, updating and/or creating drawings to align with the current state of the pipe, performing a rigorous quality control check to verify the accuracy of any changes, coordinate changes and approvals with on-site operations personnel, and assisting with uploading files into a system of record for easy retrieval.

Migrations

As technology continually advances, so must your data and records management systems. We design data management systems to integrate with new technologies, manage data migrations for seemly integrations with new software, normalize and standardize data to support an organized application, work with IT departments to design end-user interfaces to facilitate ease of use.

We have, for example:

• Designed the user interface, led training sessions, and facilitated the migration of 4.2 million confidential engineering documents—without interrupting daily operations.

• Led the design and development of a tool to automate metadata clean-up and reorganize document versions in preparation for migration of over 250,000 documents.

Customized SharePoint Implementation

We create customized SharePoint intranet systems that enable internal and external teams to share and manage content, track documents, link with other process management systems, and simplify understanding of highly complex processes.

We have, for example:

• Designed a site that tracked document updates, versions, and status, and created a reporting system to show efforts in real-time.

• Designed a site that automatically retrieves data and records from various systems, and centralizes all information and displays it in an organized manner.
